What I collect and why

I collect the details you provide through enquiries, questionnaires, CVs, supporting documents and conversations. These may include contact details, employment history, qualifications, skills, achievements and career goals. I use them to respond to you, agree the work, prepare and revise documents, manage payment and deliver the services you request.

Providing information is voluntary. Without relevant details, I may be unable to respond or prepare accurate documents. Leave questions blank if you prefer to discuss them. Please do not send identity documents, unnecessary sensitive information or confidential employer or customer material. Supply referee details only with the referee’s permission. For a young person’s CV, please provide only the information needed for the service.

Tools and service providers

I use Microsoft Office to create documents and Microsoft Outlook for email. Website and email hosting are provided by WebhostingNZ. Relevant information you supply may be processed by these providers when those services are used. Their processing may take place outside New Zealand.

AI assistance may be used in our process. I personally select, edit and review the content, and ask you to check the accuracy of your final documents. I do not use AI to make hiring decisions about you. Please discuss any concerns about external processing or AI assistance before sending your CV or supporting information so we can agree an appropriate approach.

I limit information supplied to external tools to what is needed for the work and avoid unnecessary identifiers. Provider retention, backup and processing arrangements are governed by the service and account settings in use; information is not necessarily held only on my computer.

Website enquiries

The contact form collects your name, email, selected service, optional deadline, message and acknowledgement of this statement. It sends your enquiry to my business email. It uses a temporary session cookie and submission timing checks to help prevent unwanted submissions. It does not offer document uploads or add you to a marketing list.

The hosting provider may keep operational and security logs, which can include IP addresses and request details. This website does not include advertising trackers or visitor analytics.

Storage, access and sharing

Working files are held on my computer or storage devices and in the external services used for the work. I take reasonable steps to protect them from loss, misuse and unauthorised access. Alan McGregor is the only person within the business authorised to access client records. Service providers may process information to operate their services.

I will not send your documents to employers or recruiters on your behalf without your authorisation. I will not sell your information or use your documents, name or feedback in promotional material without separate permission. Information may also be disclosed where required by law.

Retention and deletion

I retain CV service working records while the work is underway and for three months after I supply the final agreed documents and confirm completion. I then delete questionnaires, source documents, consultation notes, drafts and final documents from active records I control, including relevant email and writing-tool records where deletion is available.

Enquiries that do not proceed are normally deleted from active records within three months of our last contact. Deletion from active records may not immediately remove provider backups or security records; those are subject to the provider’s retention processes. Accounting and invoicing records are kept separately for applicable recordkeeping requirements. Please keep your own copies of the final documents.

Your choices and requests

You can ask for access to your personal information, request corrections, discuss earlier deletion or raise concerns about how it has been handled. Email Alan using the address above. If a concern remains unresolved, you can contact the New Zealand Office of the Privacy Commissioner.
